Frequently Asked Questions
What types of community teambuilding projects do you offer?
We offer four flexible project formats designed to fit your schedule and goals:
Project Formats
- In the Community: Hands-on, guided projects completed at local schools, parks, or nonprofits.
- At Your Workplace: We bring a custom project, materials, and facilitation directly to your office.
- Make it, Take it: Participants build a useful item and can choose to take it home or donate it.
- On Your Schedule: Project boxes dropped off for your team to complete on your timeline. Once completed, we arrange pick-up and distribution to our nonprofit partners.
Where do projects take place?
We’re flexible, and we can come to you
At Your Location
- We can set up our in-office project types at just about any workplace, including conference rooms, break areas, or even spacious office park parking lots. We will ask for room details and let you know what is possible. For On Your Schedule projects, we’d recommend a large open table, at a minimum.
In the Community
- For projects we facilitate in the community, these will take place at our vetted partner locations (schools, community centers, or nonprofit partner offices).
How long do the projects typically last?
Our events are designed for flexible timing and high engagement. We build our events around the time needed to complete a given project. How that time can be split up is incredibly flexible.
Duration
- Projects can engage participants for as little as 30 minutes or run up to a full-day event, depending on the scope. We have also run workshops over multiple days for hundreds of participants.
Efficiency
- We focus on structured activities that eliminate “standing around” time, ensuring your team’s time is always used productively.
- The total effort is measured in hours, which we spread across the event format that makes the most sense for your team’s schedule.
Do our team members need any special skills or experience to participate?
No, far from it. Our projects are designed for total accessibility. We can accommodate just about anything with notice. Bring your cat! (mostly joking about the cat thing..mostly)
Full Guidance
- Every event includes expert instructors or detailed, easy-to-follow instructions to ensure a fun, stress-free experience.
How far in advance should we book a teambuilding event?
We highly recommend booking as far in advance as possible to ensure project alignment and secure your preferred date, especially during peak seasons (e.g., spring, summer, holiday season).
Ideal Booking Window
- We recommend reaching out 6-8 weeks ahead of your desired event date.
- This window allows us to properly source and prepare all materials, and coordinate logistics with our nonprofit and community partners.
Last-Minute Events
- We can sometimes accommodate events with as little as 2 weeks notice.
- Please note that project options may be limited for last-minute bookings.
What is the minimum or maximum group size you can accommodate?
Our flexibility is a core strength, as we design projects to scale based on your team size.
Minimum Size
- We can design effective teambuilding events for groups as small as 10 to 15 people. On Your Schedule projects can be done by any group size, but do not have a facilitator present.
Maximum Size
- We regularly facilitate large-scale events and can accommodate dozens or even hundreds of people.
- We achieve this scale by using multiple stations, facilitators, and scalable projects. For especially large projects or workshop builds in an office, we would likely suggest shifts.
Goal
- We ensure every participant feels engaged and can see the positive, measurable impact they are making. We think of projects in terms of the hours needed for project completion, and we plan for efficiency.
There will always be enough to do at a Definitely Not a Robot project.
What types of causes can my team support with a project?
We make it easy to align your teambuilding efforts with a cause that matters to your team.
Our Selection Process
- Needs-Based Matching: Our projects are always generated from real, locally requested needs of our partner schools, nonprofits, and community spaces. We have robust connections in the Seattle and Portland metro areas, but have completed events in multiple states and countries.
- Cause Alignment: You can specify your preferences (e.g., supporting education, animal welfare, or environmental cleanup). We then match you with a current project opportunity in our pipeline that aligns with those interests.
- Partnering with You: If you already have a community partner in mind, we are happy to explore ways to translate their needs into an accessible, impactful project for your team.
How is the cost of a project determined?
Our pricing is all-inclusive and transparent, based on the complexity and scale of the project.
Cost Factors
Pricing is primarily determined by:
- Group size
- Project type
- Event location
- Facilitation Time
- Customization
Transparency
- Quote Provided: We provide a comprehensive, fixed quote upfront that covers all aspects of the event, ensuring no unexpected costs.
- Budget Alignment: We are happy to develop projects around a specific budget to maximize the measurable impact your team can achieve.
What exactly is included in your event facilitation?
Our goal is to let your team focus entirely on the impact, while we handle everything else.
Our Full-Service Guarantee
- Full Preparation: Sourcing all specialized materials, tools, and project instructions.
- On-Site Logistics: Based on your preferences, requirements, and/or company policies, we offer complete setup, tear-down, and cleanup at your chosen location (office, community site, your parking lot 😊, etc).
- Expert Management: Full facilitation, including skilled instructors, activity briefing, and teambuilding guidance throughout the event.
- Final Donation: We manage the delivery and final donation of all completed items to our nonprofit partners.
Will our team receive information or photos showing the final impact of our contribution?
Yes, measuring and sharing impact is a critical part of our mission.
Post-Event Follow-up
- We ensure you receive confirmation, and whenever possible, photos or a brief report detailing how the items or improvements created by your team are being used by the benefiting organization.
What kind of vibe can we expect to have at a Definitely Not a Robot event?
Vibe is a huge determinant of a successful teambuilding experience, and we are experts at tailoring the atmosphere to meet what you’re looking for.
Custom Atmosphere
- We facilitate events that can range from a relaxed, quiet space for small teams focused on detailed creation, to boisterous, loud rooms filled with high energy. We handle the music to the room arrangement, and everything in between.
Available Styles
- Creative & Calm: Many of our projects let participants lean into their creative sides with options like crafting, painting, or detailed construction.
- High-Energy & Competitive: We can inject a competitive edge into several projects, pitting teams against each other in challenges focused on speed and quality for bragging rights.
- Complementary and Fun: Our projects integrate seamlessly, whether you need a quick, fun activity during a happy hour or a comprehensive main event tailored to your organizational goals.
Whatever the desired vibe, we can make it happen while ensuring your team completes a meaningful project.
Do you offer virtual or hybrid project options?
Yes, we are able to design projects that can include remote and virtual team members.
Seamless Integration
- We can be creative about including remote teammates in various ways to connect them directly with the hands-on work happening in the room.
- We design the event around your specific setup to ensure everyone feels engaged and contributes meaningfully to the final project.
- Most project types have elements that can include remote teammates.
Next Steps
- Let us know your team’s unique setup and remote capabilities, and we will tailor a solution to make it work.
Can our project be tax-deductible?
Yes, but.
At this time, Defnitely Not a Robot is a company, not a nonprofit. Watch this space. 😊
However, because we exist purely to facilitate teambuilding events which help our community, we have the ability to navigate payment in a way that allows for it to be written off.
We do this through fiscal sponsorship with a partner nonprofit. We will walk you through the options to find what works best for your budget and reporting needs.
Note: This process often costs a bit more due to administrative handling on all sides
Do you work with organizations outside of the Portland and Seattle areas?
Yes, we are proudly geo-agnostic. We can definitely accommodate projects in other states and have successfully completed work for organizations outside the country.
For projects outside of our core region, we will always be completely transparent about the added costs, logistics, and scheduling feasibility upfront. Just reach out with the specifics of your project location, and we’ll partner with you to make it work.
I’m a nonprofit or school, and I’d like to work with you. How can our organization get involved?
We exist to serve the needs of the community, and we welcome collaboration. Our goal is to take on projects that your organization has lacked the resources to complete. Many of these are completed at the offices of companies we work with, and delivered directly to you. We’re also eager to look at other projects you may need help with.
Expert Assessment
- Our team is expert at addressing diverse needs, from facility repair to providing needed resources. Whether it’s a single activity or addresses an ongoing need, we coordinate with donors and their volunteer teams to meet your criteria and scope.
Direct Guidance
If your need is better suited for a traditional volunteer effort outside our project-based model, we’ll do everything we can to help. In other words, if a company we work with wants to take a volunteering shift that your organization is happy to facilitate, we will make the connection, and send them your way.
You can reach out directly via our Contact Form. We are eager to hear from you.
I'm an individual who likes the sound of these kinds of projects and wants to get involved. Is that a possibility?
If you’ve got the time, we’ll make the time. We’re experts at matching talent with need, and even if we don’t have a current opportunity that fits with your skills or interest, we’d be more than happy to point you in the right direction.
Reach Out, and we’ll see what we can get done together.
